JOB SUMMARY

The Equity and Partner Engagement Coordinator plays a key support role within Travel Portland’s Equity and Partnerships department, ultimately contributing to the organization’s commitment to inclusive tourism and community engagement.

This position provides vital administrative, logistical, and programmatic support to help ensure the smooth execution of equity-focused initiatives, multicultural programming, and partner engagement efforts. The ideal candidate is a highly organized self-starter and a detail-oriented team player who thrives in a dynamic, mission-driven environment and is willing to grow their knowledge of equity, diversity, and inclusion (EDI) within the travel and tourism industry. Through collaborative coordination, effective communication, and operational excellence, this role helps advance Travel Portland’s strategic priorities and deepen its community impact.

ESSENTIAL FUNCTIONS & KEY RESPONSIBILITIES; Supervisory Responsibilities: None
Administrative & Operational Support

  • Provide day-to-day administrative support to the Vice President of Equity and Partnerships, including calendar management, travel coordination, meeting preparation, and task tracking.
  • Prepare agendas, take and distribute meeting notes, and manage follow-up actions for departmental and committee meetings.
  • Maintain organized and up-to-date records for sponsorships, partner activities, and community engagement efforts.
  • Process departmental invoices accurately and in a timely manner, ensuring alignment with budget protocols.
  • Manage the Equity and Partnerships department inbox, responding to inquiries promptly and professionally.
  • Coordinate office supply orders and departmental fulfillment needs.
  • Support the preparation, packaging, and shipment of marketing materials, event collateral, and partner outreach kits.
  • Track inventory and manage the procurement and assembly of promotional gifts and welcome bags for events and partners.

Program Coordination

  • Assist with planning and executing multicultural initiatives, partner programming, and networking events, including venue coordination, guest communications, and on-site logistics.
  • Support the execution of training and learning sessions focused on equity, diversity, and inclusion.
  • Manage the scheduling, documentation, and tracking of committee initiatives, including the Multicultural Tourism Advisory Committee (MTAC) and the Partnership Committee.
  • Monitor project timelines and key deliverables to ensure consistent progress toward departmental goals.

Communication & Collaboration

  • Collaborate with internal teams (e.g., including Marketing, Community Engagement, and Content) to support aligned messaging and outreach efforts.
  • Assist in preparing presentations, reports, and materials for internal and external audiences.
  • Provide cross-functional administrative support to ensure the successful execution of equity-focused programs and partnership initiatives.

Data & Reporting

  • Support the collection and organization of supplier diversity and demographic data.
  • Assist in tracking participation and engagement metrics for EDI-related events, programs, and committee activities.

EDUCATION AND/OR EXPERIENCE; Certificates, Licenses and Registrations:

  • High School Diploma or equivalent
  • At least 2 years of administrative experience
  • A valid driver’s license with an acceptable motor vehicle report per company standards is preferred if driving

NECESSARY KNOWLEDGE, SKILLS AND ABILITIES

  • Proactive self-starter with strong planning and organizational skills, able to manage multiple priorities and drive tasks to completion with minimal supervision.
  • Proficient in MS Office Suite and ability to learn institutional reporting systems
  • Demonstrated use of tact, judgment, and discretion, and ability to relate to people of all ages, races, genders, sexual orientations, and socioeconomic backgrounds
  • Excellent communication and emotional intelligence skills (verbal, oral, and written) to manage sensitive conversations
  • Efficient in keeping others informed of project progress and escalations
  • Committed to delivering high-quality results
  • Ability to collaborate across differences and with various constituent groups, build rapport, instill trust, and function independently
  • Comfortable working in a high-energy, fast-paced, and demanding environment
  • Professionally represent Travel Portland in the community and possess the ability to interact with all levels of the organization
  • Occasional travel may be required. A valid driver’s license with an acceptable motor vehicle report, as per company standards, is preferred for driving.

WORK ENVIRONMENT & SCHEDULE

General office environment in downtown Portland, Oregon. Employees of Travel Portland currently follow a hybrid work schedule, working Tuesdays and Wednesdays, as well as one other day of their choice, in the Portland office, with the option to work remotely two days per week.
