The Facilities Manager is an essential member of the Building Management team that will be responsible for coordinating the day-to-day operations of the facility, including maintenance, custodial, security, and building operations – with a focus on event coordination and management. As the Manager of Facilities, you are essentially the face of the Museum for many who interact with our physical space. Your responsibilities extend beyond the technical aspects of building operations, encompassing a vital component of our visitor experience. Your attention to detail in maintaining a clean, safe, and welcoming environment, coupled with your proactive approach to event management, is critical to creating a positive and lasting impression on our guests. This position oversees full-time and part-time security and custodial staff, as well as consultants as needed. This is a full-time, regular position that reports directly to the Chief Engineer/Director of Facilities.
Roles and Responsibilities:
- Work closely with all Museum departments on planning of internal and rental events; coordinate setups, vendor load-ins, loadouts, staffing, and event management.
- Work closely with A/V staff for Museum events as needed.
- Directly manage and optimize the daily operations of Security, Custodial, and Maintenance teams, including full-time, part-time, contracted staff, and DC37 members. Responsibilities include strategic scheduling, work assignment allocation, overtime management, and performance oversight to ensure efficient and effective Museum operations.
- Manage maintenance and cleaning of Museum, including exterior sidewalks and terraces. Continuously monitor all public spaces to ensure cleanliness, safety, and functionality.
- Monitor department staff sick/vacation time and review biweekly timesheets and submit to HR.
- Aid in department staff recruitment and training.
- Adhere to and enforce Museum policies and procedures as well as safety and security practices among direct reports.
- Identify and address any potential issues or hazards immediately.
- Proactively engage with visitors, ensuring they are comfortable and enjoying their time within the Museum.
- Address any visitor concerns or inquiries promptly and professionally.
- Foster a welcoming and inclusive atmosphere throughout the building.
- Minor repairs in Electrical, Plumbing, HVAC, and Carpentry as needed.
- Make sure that all of the building systems are functioning correctly.
- Supervise the security staff, ensuring they are actively patrolling all floors and adhering to established protocols.
- Maintain constant communication with Museum Attendant Guards and other personnel to ensure timely response to any security incidents.
- Ensure that the security and facilities staff provide excellent customer service for the visitors.
- Anticipate potential issues and implement preventative measures.
- Develop and maintain effective communication channels with all relevant departments.
- Manage special projects as needed.
Additional responsibilities in coordination with other building management staff and in support of the Director of Facilities include, but are not limited to:
- Assist in creating annual department expense budget and operate within the budget - utilizing cost saving measures wherever applicable.
- Assist with exhibitions installations as needed.
- Assist the Assistant Director of Facilities and the Chief Engineer in the monitoring of the operation of all HVAC equipment and BMS systems. (Knowledge of Boilers, Chillers, Cooling Towers, and Air Handling Units a plus.)
- Assist the Assistant Director of Facilities in scheduling and managing repairs and maintenance of systems, including plumbing, electrical, carpentry, and general maintenance.
- Work with Director and the Assistant Director of Facilities to research, select, and manage all outside facilities vendors.
- Manage the upkeep of equipment and supplies, meeting health and safety standards.
- Assist with requisitioning, storing, distributing and accounting for necessary building and maintenance supplies and equipment.
- Assist with maintenance and security of 25,000 sq ft offsite storage facility.
- Maintain compliance with local, state, and federal regulations; maintain up-to-date building documentation and certifications.
- Maintain all required administrative records, including but not limited to logbooks, work records, maintenance records, contractor visits, etc.
- Coordinate Facilities team benchmarking visits with external stakeholders to explore, identify, develop and implement best practices.
- Coordinate with Collections & Exhibitions Departments on exhibition safety and security issues.
- Support cross functional cooperation and communication with Venue Rental Sales, Education, Public Programs, Development, and other teams to ensure successful events and programs.
- Conduct regular inspections regarding health & safety issues in the building.
- Perform other job-related duties as assigned.
A successful candidate will have:
- Weekend and evening availability.
- Three or more years of experience in Building/Facilities and Events Management is required.
- Bachelor's degree in management or comparable practical experience in Events Management or a technical field such as Facilities Management preferred.
- Excellent leadership and management skills. Experience in a supervisory role with knowledge of management best practices, ability to allocate and delegate workload, train, coach and discipline staff as needed.
- Strong computer skills: working knowledge of MS Office required, knowledge of BMS/BAS is desirable.
- Provide high quality customer service to internal and external clients and vendors
- Must be innovative, able to think on one’s feet, and able to solve an issue using all resources available
- Excellent communication and interpersonal skills.
- Knowledge of fire safety, security operations, safety regulations and codes, and safe work practices is preferred.
- Knowledge of MEPF Mechanical, Electrical, Plumbing and Fire Alarm Systems.
- Must have or obtain within six months of the date of hire NYC Certificates of Fitness, including Fire Drill Conductor: F-07 Site Specific, S-95 Supervision of Fire Alarm Systems, S12, 13 Citywide Standpipe and Sprinkler Systems and any other certifications as required by the Museum.

PHYSICAL REQUIREMENTS & WORK CONDITIONS
This position requires full-time, in-person attendance at the Museum. Weekend and evening availability are required. Holiday work may be necessary to support special events and operational needs. The role involves being stationary for 50% of the time, navigating office and Museum environments, and traveling between the Museum and offsite storage locations. Work conditions may occasionally include environments with 50% humidity and temperatures of 50°F. Physical requirements include operating power tools and machinery, ascending/descending ladders and stairs, working at heights or in confined spaces, and handling equipment weighing up to 50 pounds. Strong visual acuity is necessary for tasks such as data analysis and operating machinery. Additionally, after-hours emergency response coverage may be required.

The annual salary for this position is $65,000.
